Choose one workflow first
Follow a real example from purchase or customer order through receiving, dispatch and invoicing. Identify who authorises each change and which records must stay consistent.
Review the starting data
List product codes, opening quantities, customers and suppliers. Agree who resolves duplicate or incomplete records before import. A new system cannot make unverified opening data reliable on its own.
Separate requirements from preferences
Prioritise essential approvals, stock checks and reports. Identify exceptions, returns and corrections. Document acceptance examples that can be checked during review.
Plan adoption and handover
Nominate a business owner, review roles and permissions, and plan training and a cutover. Confirm what accounting, tax, integrations and ongoing support are included in the proposed implementation.
This guide helps frame a requirements conversation. A written quotation defines the actual deliverables, responsibilities, pricing and terms.
